Know who has your stuff, and get it back on time.

Stick a QR label on every item you lend out. Scan it with your phone when it leaves. LoanLog emails the borrower before it's due and again when it's late, so you're not the one doing the chasing.

Lending things out is easy. Getting them back is the hard part.

If your business lends out samples, tools or gear, some of this probably sounds familiar:

  • The sample you forgot about. A design studio owner on Reddit had loaned stain samples and cabinet doors to three designers and one homeowner. One sample had been out for over a month before she noticed. That was with just four borrowers.
  • The spreadsheet that only works in your head. One owner said their rental spreadsheet worked fine while it was only the two partners. Then they hired part-time staff. A missed late return, a wrong date or a skipped buffer made the sheet say an item was free when it wasn't, and two customers showed up for the same generator.
  • Reminders that go to the wrong person. As one commenter pointed out, a lot of asset tools email you that an item is due back, while the person who actually has it never hears a thing.
  • Software built for someone bigger. The options people suggested were either full rental-booking suites, asset trackers priced per item (commenters noted prices tend to jump once you pass roughly 500 items), or free tools like Snipe-IT that need your own server and are, in one commenter's words, "highly technical." The studio owner said she tried library software and got overwhelmed fast.

You don't need an enterprise asset system. You need to know who has it, since when, and when it's coming back, plus a reminder that reaches the borrower without you sending it.

How it works

  1. 1. Label it

Add your items (one by one or from a spreadsheet) and print QR labels as a PDF on your regular printer. Stick one on each sample, tool or case.

  2. 2. Scan it out

When something leaves, scan its label with your phone's camera. No app to install. Enter who's taking it, their email, and when it's due back. It takes a few seconds.

  3. 3. Get it back

LoanLog emails the borrower before the due date and again if it's late. You get a short summary of what's out and what's overdue. When the item comes back, scan it again and you're done.

Who it's for

LoanLog is for small teams that lend physical things to customers, staff or members:

  • Interior design studios and showrooms lending stain samples, cabinet doors, tile, flooring and fabric swatches to clients and designers
  • Small equipment and party rental businesses that need to know which tent, table, light or generator is out and who has it (note: LoanLog tracks check-out and returns. It isn't a full online booking system.)
  • Tool libraries and makerspaces lending tools to members
  • School drama, AV and media departments lending cameras, mics and lighting kits
  • Any business with "loaner" items that currently lives on a spreadsheet, a clipboard or someone's memory

It's probably not for you if you need online booking with deposits and date-by-date availability today. Dedicated rental platforms do that. LoanLog focuses on simple lending and returns.

FAQ

Is LoanLog available now?

Not yet. It's being built right now, and we're using this waitlist to make sure it solves the right problem before launch. Waitlist members get early access first.

Do my borrowers need to download an app or create an account?

No. Your staff scan labels with their phone's browser camera. Borrowers just receive emails with the item, the due date, and how to return it.

What kind of reminders does it send?

Emails to the borrower before the due date and after it passes, plus a summary for you showing what's out and overdue. Text-message reminders may come later, but they aren't promised for launch.

What do I need to print the labels?

A regular printer. LoanLog generates a PDF of QR labels you can print on standard sticker label sheets or on paper and tape on. No special scanner hardware needed.

Why not just use a spreadsheet, or a free tool like Snipe-IT?

A spreadsheet can't remind your borrower, and it breaks easily once several people update it. Snipe-IT is powerful and free, but it's built for IT asset management and you have to host and maintain it yourself. LoanLog aims to be the simple middle ground: labels, scan out, scan in, automatic reminders.

Can it handle bookings, deposits or date-based availability?

Not at launch. LoanLog starts with check-out, check-in and reminders. If you need bookings, tell us in the waitlist form. It helps us decide what to build next.

Who's building this?

A solo founder with a background in software quality assurance (QA), building in public on X. You'll hear from a real person, not a sales team.
